Privacy Policy

Last updated: 18 September 2026

This Privacy Policy explains how Narayan Solutions ("we", "us", "our") collects, uses, stores and protects information when a school uses Kiwano (kiwano.in), our school management software, and Taskway (taskway.in), our business automation tool. Both products are owned and operated by Narayan Solutions, Sawalmendha, Tehsil Bhainsdehi, District Betul, Madhya Pradesh, India.

Please read this policy together with our Terms & Conditions.

1. Who this policy is for

Kiwano is used by schools. A school signs up, and the school's authorised staff enter and manage information about their institution, their staff, their students and those students' parents or guardians.

In this arrangement the school is the owner of its data and decides what is collected and why. Narayan Solutions acts as the service provider that stores and processes that data on the school's instructions. Taskway is used by businesses in the same way — the business owns its data, and we process it on their instructions.

If you are a parent, guardian, student or employee and you have a question about your information, please contact your school or organisation first. They control the records. You may also write to us directly using the contact details at the end of this policy.

2. Information we collect

School and organisation details: name, address, contact numbers, email address, logo, academic session details, subscription and billing details.

Staff information: name, role, contact number, email address, joining date, salary and payroll details where the school chooses to use those features, attendance records, and login credentials.

Student information: name, admission number, class and section, date of birth, guardian details, attendance, examination results, and fee and payment records.

Parent and guardian information: name, relationship to the student, mobile number (including WhatsApp number), and email address where provided.

Communication records: messages sent to parents and guardians through the platform, including WhatsApp messages, SMS, email and in-app notices, along with delivery status; any replies received; notes recorded by school staff about telephone calls and follow-ups; and notices or certificates generated for a student.

Payment records: fee amounts, due dates, amounts collected, payment method and transaction references. We do not store complete card numbers, CVV numbers or banking passwords. Online payments are handled directly by our payment partners.

Technical information: IP address, browser and device type, and activity logs such as sign-in times and actions taken inside the software. This is used for security and troubleshooting.

3. How we use this information

We use the information only to provide and operate the service, specifically to:

  • run the school's day-to-day operations — admissions, attendance, timetables, examinations, fees and payroll;
  • send fee reminders, notices, receipts and other school communications to parents and guardians;
  • record and follow up on fee payments and payment commitments made by parents;
  • generate documents such as fee receipts, notices, admit cards and no-objection certificates;
  • provide the school with reports on its own data;
  • keep the service secure, prevent misuse, and investigate problems;
  • manage subscriptions, invoices and customer support.

We do not sell personal information. We do not rent or trade contact lists. We do not use student or parent information to show advertisements.

4. WhatsApp communication

Where a school enables it, Kiwano sends messages to parents and guardians over the WhatsApp Business Platform provided by Meta. This section explains that specifically.

  • Messages are sent to the mobile number the school has recorded for that parent or guardian.
  • Messages relate to the school's own business with that family — fee dues and reminders, payment confirmations, notices, circulars and similar school communication.
  • To send these messages we share the recipient's mobile number and the contents of the message with Meta, which delivers the message. Meta's own terms and privacy policy apply to that delivery.
  • If a parent replies to a message, that reply is received by our system and stored against that student's communication record, so the school's staff can read it and respond. Replies may also be used to record information the parent has given, such as a date on which they have said they will pay.
  • A parent can ask to stop receiving WhatsApp messages at any time by replying to the message asking to stop, or by telling the school directly. The school can then remove or disable that number. Messages required by law or by the school's own rules may still be sent by other means, such as a printed notice.
  • We do not use WhatsApp to send marketing or promotional messages to parents on behalf of third parties.

5. Who we share information with

We share information only where it is needed to run the service:

  • Payment partners (such as Razorpay and Stripe) to process online fee payments. They receive only what is needed to complete the transaction and handle it under their own privacy policies.
  • Meta Platforms, for delivery of WhatsApp messages as described above.
  • Hosting and infrastructure providers, on whose servers the software runs.
  • Government authorities or courts, where we are required by law to do so.

Each school's data is kept separate from every other school's data. One school cannot see another school's records.

6. How long we keep information

We keep a school's data for as long as the school has an active account with us, because schools need access to past academic sessions, fee histories and records of communication.

If a school closes its account, we retain its data for a limited period so that it can be exported or restored if the closure was in error, after which it is deleted or anonymised. Certain records, such as invoices raised to the school, may be kept longer where accounting or tax law requires it.

7. How we protect information

We use industry-standard measures to protect data, including encrypted connections (HTTPS), password protection, role-based access so that a staff member sees only what their role permits, and regular backups. Access to our servers is limited to authorised personnel.

No system can be guaranteed to be completely secure. If a breach occurs that affects personal information, we will inform the affected schools without undue delay.

8. Children's information

Kiwano holds information about school students, many of whom are children. This information is entered by the school, not collected by us directly from children. We do not create profiles of children for advertising, and we do not share children's information with any third party except as described in section 5.

9. Your choices and rights

You may ask to see the information held about you, ask for it to be corrected if it is wrong, or ask for it to be deleted where there is no legal or contractual reason to keep it.

If you are a parent, guardian, student or staff member, please make the request to your school first, since the school controls its own records. If the school cannot help, or if you wish to raise it with us directly, write to us using the details below. We will respond within a reasonable period, and normally within thirty days.

10. Cookies

Our websites and software use cookies that are necessary for the service to work — for example, to keep you signed in and to keep your session secure. We do not use cookies to track visitors across other websites for advertising.

11. Changes to this policy

We may update this policy from time to time, for example when we add a new feature. The revised policy will be published on this page with a new "last updated" date. Where a change is significant, we will inform our subscribing schools.
